Lost or Stolen Passport

Do this first

Search thoroughly before reporting

Before reporting your passport lost, do a thorough search - hotel room (including safe, under the bed, in jacket pockets), car, tour vehicle, last restaurant or attraction visited. Once you report your passport as lost to the Department of Internal Affairs, it is permanently cancelled. Even if you find it an hour later, you cannot use it for travel. There is no reversing this step.

If you genuinely cannot locate it, proceed immediately to Step 2.

Within 24 hours

Report to the New Zealand Police and get a report number

A police report is required by your embassy, your travel insurance, and the passport replacement process. You need the report number - keep it safe.

  • If the passport was stolen: Call 111 (if you feel unsafe or it just happened) or 105 for a non-emergency police report
  • Online report: police.govt.nz - use the online reporting tool for theft or loss
  • In person: Visit the nearest NZ Police station - your hotel or guide can direct you
  • Request a written copy of the report or at minimum a Police Report Reference Number - you will need this for every subsequent step
  • Note exactly when, where, and how the passport was lost or stolen - as precisely as you can

Contact your country's embassy or consulate in New Zealand

Your embassy or high commission is your primary contact for a replacement passport or emergency travel document. See the embassy contacts section below for full details. You will need your police report number, proof of identity (digital copies of your passport if available, or any other government ID), and details of your travel plans.

The embassy will advise whether to apply for a replacement passport (takes several working days) or an Emergency Certificate / Emergency Travel Document for urgent travel.

Same day

Notify your travel insurance provider

Call your travel insurance provider as soon as possible and open a claim. Most comprehensive travel insurance policies cover passport replacement costs, emergency accommodation if your departure is delayed, and additional travel costs resulting from the loss. Have your police report number ready when you call.

  • Document all additional expenses from this point forward - keep every receipt
  • Ask your insurer what they will and will not cover before spending anything
  • Your insurer may also have an emergency assistance line that can help coordinate -- check your policy document

Within 48 hours

- Gather documents for your replacement application

- While waiting for your embassy appointment or response, gather everything you have to support your replacement application:

  • - Digital or printed copy of your lost passport (if you photographed it before travel - which you should always do)
  • - Any other government-issued photo ID (Aadhaar card, driving licence, voter ID, PAN card for Indian nationals)
  • - Your flight bookings and onward travel documentation
  • - Hotel booking confirmations showing your NZ address
  • - Police report copy or reference number
  • - Two recent passport-size photographs (many pharmacies and photo shops in NZ cities can produce these quickly)
  • - Travel insurance policy number and emergency contact
  • - Any previously issued passports if you carry them

Pro tip: Before any trip, photograph your passport (all pages), visa, and travel insurance card and email them to yourself or store them in cloud storage. In an emergency, these digital copies are invaluable.

If you must travel urgently

Apply for an Emergency Travel Document

If your departure is within the next few days and a full replacement passport cannot be processed in time, your embassy may issue an Emergency Travel Document (ETD) or Emergency Certificate. These are temporary travel documents that allow you to return to your country of residence.

Important facts about Emergency Travel Documents

  • ETDs are valid for a shorter period than a standard passport - sometimes just a single journey
  • Not all countries accept ETDs - if your return journey involves connections through third countries, confirm each country accepts your ETD before travel
  • ETDs are a last resort - if time allows, applying for an urgent replacement passport is almost always preferable
  • Long-term visas and residence permits should not be entered into ETDs - if your passport contains an active Australian, UK, or Schengen visa, discuss this with your embassy before accepting an ETD
  • Indian nationals: the equivalent is an Emergency Certificate (EC) issued by the High Commission of India, Wellington, or the Consulate General of India, Auckland

Before you travel

Check your New Zealand visa status

Your New Zealand visa is linked to your old passport. A replacement passport is a different document and does not automatically carry your visa. Depending on your nationality and visa type:

  • Indian nationals (Visitor Visa): Your visa is electronic and linked to your passport number. Immigration New Zealand can transfer it to a new passport - contact Immigration NZ on 0508 558 855 (within NZ) or +64 9 914 4100 (international)
  • NZeTA holders: The NZeTA is tied to your old passport and will need to be reapplied for on your new passport number before you can re-enter NZ or travel through
  • Carry both your old cancelled passport (as a record of your previous visa) and your new passport when departing NZ if possible
  • At the airport, immigration officers can verify your visa status-- declare the situation clearly and early at the check-in desk

Prevention - before you travel.

The best time to prepare for a lost passport is before you leave home. These steps take 10 minutes and can save days of stress.

Photograph every document

Photograph your passport (photo page, visa pages, and all stamps), travel insurance card, return flight details, and hotel bookings. Email them to yourself and store them in Google Drive or iCloud so you can access them anywhere without your phone or luggage.

Make physical copies

Keep a printed copy of your passport photo page separate from your actual passport - in your suitcase, not your day bag. If your passport is stolen from your day bag, the copy in your luggage becomes your proof of identity for the police report and embassy visit.

Use the hotel safe

Most NZ hotels have in-room safes. Use them for your passport when you are not actively travelling between properties. You rarely need your actual passport once you are checked in - your phone and a driving licence or Aadhaar card are sufficient for most activities.

Write your passport number, date of issue, date of expiry, and issuing authority in a note on your phone (not just in the photo - in a searchable text note). Police, embassies, and airlines can process faster when you can quote these details instantly.
